How to use it

  1. Enter the photographer and client details.
  2. Describe the event, coverage hours, deliverables and anything extra included.
  3. Set the fee, deposit percentage, payment deadline, overtime rate and cancellation terms.
  4. Choose the usage licence, portfolio use and whether to add a model release clause.
  5. Download the PDF or the Word file, read it carefully and send it to the client for signing.

How it works

The contract covers the parties, the event and coverage, deliverables, fees and payment schedule, cancellation by either side, copyright and the client's usage licence, an optional model release, liability, entire agreement and governing law, followed by signature boxes. Sections are numbered automatically and clauses you do not need (overtime, extras, model release) are left out.

The deposit and balance are calculated from the total fee and rounded to the currency's minor unit; amounts are written in the currency and number format of the page language. The late cancellation amount is the chosen percentage of the total fee.

The Word file uses simple paragraphs and tables so you can edit the wording before sending it. The PDF embeds Noto Sans fonts. Both are generated in your browser. This is a general template: it is not legal advice and is not tailored to any country's consumer or copyright law.

Examples

Wedding package

8 hours with two photographers, about 500 images in 6 weeks, a fee of 3,200 with 30% deposit and the balance 14 days before, and a non-refundable deposit.

Corporate event

4 hours of coverage, 150 images within 7 days, commercial licence so the client can use the photos in marketing, portfolio use switched off.

Family session

1.5 hours at a park, 60 images, personal-use licence, balance due on the day and the model release clause included for social media use.

Frequently asked questions

Who owns the photos?

Under this template the photographer keeps the copyright and the client receives a licence to use the delivered images, personal-only or personal and commercial. You can change the wording in the Word file.

Should the deposit be refundable?

Many photographers make it non-refundable because they turn down other work for the date. Whether that is enforceable depends on local consumer law, so check before relying on it.

Can I edit the clauses?

Download the Word (.docx) version and edit any wording before you send it. The PDF is for sending or printing as is.

Is a contract with only email confirmation valid?

That depends on your jurisdiction. Many places accept electronic signatures or email confirmation, but a signed copy is the safest record. Ask a local professional if unsure.
