How to use it
- Enter your company details and the customer's details.
- Add line items with a description, category, quantity, unit and unit price.
- Set the markup, discount (percentage or fixed amount) and tax rate, and choose the currency.
- Add notes such as payment terms or exclusions.
- Download the estimate as a PDF to send, or as Excel or CSV to keep working on the numbers.
How it works
Each line amount is quantity × unit price. The subtotal adds all lines; markup is a percentage of the subtotal; the discount is either a percentage of subtotal plus markup or a fixed amount (never more than that sum); tax is calculated on what remains. Every step is rounded to the currency's smallest unit (cents, or whole yen), so the printed figures add up.
The PDF shows your company and customer blocks, estimate details, the line items, totals, subtotals by category when you use more than one, your notes and an acceptance section with signature boxes. Amounts use the number and currency format of the page language.
The Excel file keeps quantities and amounts as numbers so you can add formulas; the CSV is UTF-8 with a header row. Text that begins with =, +, - or @ is prefixed with an apostrophe in the CSV so spreadsheet programs do not run it as a formula. Tax rules differ by country; check which rate applies to your work.
Examples
Bathroom retiling
Two days of labour, 24 m² of tiles, adhesive, a saw hire and a plumber, 12% markup, a fixed discount of 100 and 20% VAT.
Fence installation
Posts, panels and concrete as materials, labour by the metre, no markup, and 8.25% sales tax.
Painting quote in a spreadsheet
Enter rooms as line items, download Excel, and adjust quantities there before sending the final PDF.
Frequently asked questions
What is the difference between markup and margin?
Markup is a percentage added to cost: 20% markup on 1,000 gives 1,200. Margin is the share of the selling price that is profit: in that example the margin is about 16.7%. This tool uses markup.
Is the discount applied before or after tax?
Before tax. The discount reduces subtotal plus markup, and tax is calculated on the reduced amount, which is how most invoices and estimates are taxed.
Can I hide the markup from the customer?
Not in this version: markup is listed as its own line. To hide it, set markup to 0 and include it in your unit prices instead.
Is an estimate the same as a quote?
Wording varies, but an estimate is usually an approximate price and a quote a fixed one. The acceptance text in the PDF describes it as an estimate; adapt your notes if you mean a fixed price.
